Review of Last Meetings Notes

1. Leaks in Equinox

After the big storm last month it appears there may be a leak in Equniox; Pat (from next door) noted that he thought it was coming from the side deck of Unit 2. Will discuss with Pat, this should be covered from the original estimate and arrange to fix if needed.

2. Gate

Gate now fixed and working, but it appears to be left open a lot. Everyone remember to keep it closed.

3. New Building next door

A notice was sent on June 5 from the attorneys of the building next door noting they want to set the front of the building back from the street. Chris was told by Pat that he would not start construction until next year.

4. Front entry landing

On August 11, Units 2 & 3 will work on putting the special coating on the ground of the front entry. Will be done at 5pm. No matter what, this needs to be completed when the temperature is above 50 degrees F, meaning by around 01 October if this does not work.

New Topics


1. Common entry painting

Units 2&3 also agreed to do painting of the common hallway earlier that day. Rhett and Andy will go to Home Depot to choose colors for Jay and Devin to pick.

Everyone block of August 11 as a common work day!

2. Doorbell for Unit 3

Rhett purchased a doorbell and will install once delivered. However, if it does not work, will discuss with the other units to determine how to get this fixed or replaced.

3. Front key and packages

Rhett to make a duplicate key for Chris so that if packages are delivered he can put them in the common hallway.

4. Drain in parking area

Next time Rhett and Andy move their car, pull up the drain and see if this is clogged. We may need to get this professionally cleared or repaired as it is always getting filled with leaves and plugging up when it rains.

5. Unit 3 windows

The windows need to be replaced, many of them can’t close anymore and leak a lot of air – a problem in the winter. This is each individual unit’s responsibility, however, Rhett and Andy should show everyone the windows they want to get to try and match them – or so that if future windows are replaced that they know so those units match Unit 3.

Devin will check the guarantee on the windows and give to Unit 3 so we can see if some of these issues can just be fixed through that.

6. Front door replacement

The front door is split on the side and really needs to be replaced. Rhett and Andy will ask to have Home Depot come to look at the door to determine how to replace it. Jay wants to ensure it isn’t too expensive; Rhett wants to ensure it is strong enough to dissuade break ins.

7. Garbage cans

Garbage is picked up either on Wednesdays or Thursdays. Please make sure you fill up the cans closest to the alley first, this makes it easier to pull them out than if we fill up the ones closer to the building.

8. Unit 3 deck

Rhett and Andy want to extend their deck out further south. This shouldn’t pose any architectural problems, but a steel column will need to be added in the southeastern corner. Jay noted that it would obstruct more of the sun for them but that it isn’t that big of a deal.

Once the plans are put together, Unit 3 to bring to the association for further discussion.

9. Vacuum front entry

Devin will either vacuum the entry or leave it for Rhett to do.

Review of Last Meetings Notes


1. Leaks in Equinox

The roof over Equinox (Unit 1) is complete, they did a great job. However they are only half done with the deck, and there are no spaces between the wood planks. This needs to be addressed with the construction company. Construction has only been paid the first installment of the three at this time (see contract regarding payments).

Equinox approved construction on the interior without approval from Units 2 and 3 as agreed to in the last meeting. It is already complete. Payment was the formerly discussed price of $4,300 or $1,433 per unit. This is due to the Condo Association this weekend; the Condo Association will write a check pre-dated to next Friday to pay for this.

In the future, no party can do construction without approval from all three units where payment is involved from each unit. While Equinox did arrange to get everything handled, doing this without communicating to all units can create unnecessary financial hardships – payments must be budgeted in advance and handled at the agreed to schedule.

2. Gate

The company that did the metalwork prior is not responsive, so he is looking for a welding company to do the work. Expected cost is around $300 and the Association should be able to handle this cost.

3. New Building next door

The new building is going through 2 months of paperwork to get the rezoning approved, then 2 months of finalized paperwork before they break ground – expected in July or August 2007. When this starts, the gate will have to come down. They have agreed to take it down and put it back up for us; there is concern of storage for the gate, we will have to look into this.

4. Request for Rooftop rights

Chris (Unit 1) and Devin (Unit 2) noted that it is ok for Rhett and Andy (Unit 3) to have exclusive use of the rooftop, but they must take the following actions:

- Any repair of the roof becomes the sole responsibility of Unit 3
- Any liability within or on the roof is the sole responsibility of Unit 3
- Any construction must be reviewed by the Association prior to building
- Rooftop is removed from Common Areas and becomes a part of Unit 3

Devin is concerned about the legal issues with this; Rhett and Andy to provide written addendum to Condo Association By-Laws to accommodate this request and change for discussion and agreement by all parties.

Marty noted that because the deck on Unit 2 was already pre-existing that this remains a Common Area.

5. Billboards

Chris suggested to contact billboard companies 30 days prior to the start of construction to advise that construction is about to begin next door.


New Topics


1. Security

Last week there may have been an attempted break-in to Equinox as the exterior doorknob was damaged. Two nights ago there was a murder on Olive Street (apparently an inside job).

Rhett suggested getting a security camera for the front door so we can record what is happening; he will send the URL for what he finds to everyone, but a wireless camera is about $150 and is transmitted through the internet. In addition, the front door needs to be replaced – this needs further research.

2. Assessments Past Due

Devin has not received Assessments for April and from Unit 3 for March.

3. Front Entrance Landing

This needs to be resurfaced on a sunny warm day. Need to schedule this at the next meeting. The materials have already been purchased and are in the common storage area.

Review of Last Meetings Notes


1. Leaks in Equinox

Received revised quote from construction personnel next door (D&N Construction) of approximately $6,100 repair the deck plus $4,300 for interior rework. The interior is due later, after the construction.

All parties signed construction contract and paid $2,034 each for the construction.

2. Gate

Devin saw past receipt many years ago for metalwork at cost of $275. Will contact them upon return from vacation to get quot

3. New Building next door / Request for Rooftop rights

Chris showed how construction next door will progress; they will have a 2-3 foot variance between our building and theirs, with a further egress near the rear of the building, so light will come down into the North facing windows.

Rhett and Andy requested opportunity to have exclusive use of the roof top. They are concerned about reduced light from the building next door and potential for people to look into the skylights – they want the opportunity to have a barrier put up to obstruct that view, and to work with the construction company next door do this work.
They noted that any construction on the roof must be approved by the Board in advance. No-one currently uses or has access to the roof, so they are asking for something that has no impact to anyone.

Devin, Chris and Marty to think about request and to work with everyone at the next meeting to put something in writing.


4. Billboards

Devin called and was advised that payment is due. Marty asked if it was possible to build on the other side; Chris and Devin suggested to wait until 30 days prior to the start of construction to ask this, so as not to call any alarm to existing situation.

5. Roof

The leak on the roof in Unit 3 was inspected by the company that installed the roof; they said it was an issue with loose caulking. Rhett and Andy already bought caulk and will repair it – will advise of any issues.

Review of Last Meetings Notes

1. Rats

Chris said that the he was informed by the city (and showed written memo) that dog droppings attract rats. Rhett and Andy said they would clean up after the dogs each time they defecate. Snow is currently covering the rat holes so there is no access to adding poison to the holes.

2. Front Entrance

Reviewed front entry issue from minutes in December – once temperature gets above 50 degrees, can work on applying traction to the marble layer.


3. Leaks in Equinox

Received quote from construction personnel next door (D&N Construction) of approximately $5,300 to repair the deck plus $800 for tuckpointing and $4,300 for interior rework. This is significantly less than the other quotes; all units have the money to pay for this, and all agreed to this work with them once we receive a more formal quote.

Rhett to work on letter to give to Chris by Monday, then to be revised by D&N Construction into a formal letter due by end of week. All to sign letter by Saturday night (before Jay & Devin’s vacation) so work can start in early March.

Caveats: 5 year warranty, more detail about materials, start/end date, payment in 3 parts – start, end and after first downpour.

Once agreed, all units to sign agreement then pay the Association full amount, who will then write payment to Construction company to start work.


New Items

1. Gate

Gate hinge is bent, needs new metalwork to repair. Devin to research past repair to see if we can get a quote and will share with team.

D&N Construction noted that with the new building, they are o.k. with allowing us to reattach the gate to the building when it is completed. We need to find out where to put it in the meantime, perhaps in the parking space for Unit 1 (currently not being used).

2. New Building next door

All units received a letter about the rezoning for next door. The rezoning means it is for 4 stories (B3-3). No units expressed concern on this to protest this.

Chris will find out from D&N Construction how far they will build from our building and will advise.

All units agree not to do anything about the advertising until the very last moment.

3. Billboards

Have not received December payment – Devin to find out why.

4. Roof

There is a leak in Unit 3 around the skylight above the interior stairs. Rhett and Andy asked Devin if there is a warranty – Devin to research and advise.

Minutes December 3, 2006

Review of Last Meetings Notes

1. Rats

City has left traps now, they had some challenges setting them because our gate was closed. Chris bought rat “deterrent” – Andy says this will make the rats very thirsty and want to leave. Andy will be in charge of setting this.

2. Trash Bins

Devin says he thinks they are getting rid of the trash on Wednesdays or Thursdays, not certain. We all agreed, as the trash bins are full we put one out and then collect them from the alley when they are empty. Still, the neighbors are putting trash alongside of our bins. Rhett to send a letter to the building next door because they are putting their trash next to ours.

3. Front Entrance

Rhett and Andy bought a quick layer “cover” to put over the existing marble but it has to be above 50 degrees. We will try this and see how it works once a warm day comes along – if there is a surprise warm day, Andy and Devin will work immediately to do this. Requires 8 hours (overnight) to dry.

4. Front Door

The space guard looks good and works well! Devin bought a vacuum for $30 with a 100 ft. cord; he will clean the hallway shortly and leave out for Rhett and Andy to use.


5. Money Update

Current balance is $2,549.84 with $450 in last month’s dues left to be deposited. We should get money for the other billboards this month. Chris asked if we should advise the billboard companies that the new building is coming in; as per our legal counsel, we should not do this until construction begins.

Andy noted that we should have at least a $5,000 running balance. As such, agreed to increase association dues to $200 as of January 1, 2007.

6. Leaks in Equinox

Devin tried to get an on-line quote to match the work but to no return; that site seems to be not as frequently used as before. Chris will get another bid and then will provide all the information about these companies so that we can call them with any questions we have, then we will make a decision.

We should anticipate paying up to $20,000 to fix this, so we all need to be prepared to pay for this. All funds need to be secured by the next meeting on January 6, 2007. The chosen company will have a representative present at this meeting for any questions and to go over the work – the company should be prepared to start the work 14 days after the meeting if there are no concerns.

Equinox’s insurance will not pay for this work.

7. Insurance

Current insurance is St Paul Travelers – annually $2,923 for $807,000 worth. Two quotes offered to change insurance – State Farm at $2,776 and Nationwide at $2,963. This isn’t enough to make the change worthwhile, however, Chris will review the insurance policies to see if there is any superior coverage we would get with the new insurance.
