Minutes November 5, 2006

1. Rats
Chris is calling the city to find out what they are using to kill rats so that we can put it under the building. He will ask them to bait them again.
2. Trash Bins
Neighboring building is depositing their trash in our recepticles. The city requires that these are not chained with a lock if they are to dispose of the trash. We will watch to see when the city clears garbage this week, then bring them inside the gate. We probably only need two of them. Marty mentioned that his staff is happy to bring them out the night before the garbage men come; we will take them inside the gate in the morning after they are clearing. If this does not fix the problem, Rhett can write a letter to the owner of the neighboring building.
3. Front Entrance
This is dangerous, people can slip on the stone. This needs to be broken up and removed or make less slick, adding quick set concrete. Devin looked into outsourcing this but the cost was $1,300. We should do it ourselves. We can do this when Equinox closes to reduce the amount of work; they can also put out a board over the floor to ensure people still come into the store. Rhett and Andrew to research cost of getting quickset and renting a sledgehammer – size is 6’ x 6’.
4. Front Door
Andrew: cost to replace is anywhere from $300-$500. Devin pointed out that a whole new doorframe is required, and this likely would also affect the electronic buzzer to the door. Cost right now is too much to change and may require a special assessment. Until then, Rhett to revise the signs to make them more visible to ask people to close the door when they depart.
5. Money Update
Devin noted that we have a declining balance annually. We may need to increase our assessments; have asked Devin to provide a financial update with a recommendation of what this increase should be.
Also noted to Devin to always bring the finances to every Condo Assn meeting to go over with everyone.
6. Quarterly Meetings
All agreed to have a meeting the first Saturday of every month the start of each quarter. Rhett will send everyone a calendar for meetings in 2007.
7. Note taker
Rhett will update all on minutes and send to everyone, will also put on website.

8. Common Area Cleanliness
Andy is putting in a weather strip for the front door of the common area to reduce the leaves and dirt blowing in, but we have to be careful it does not obstruct the rug.
Devin will look into buying a new electric DirtVac that has a 100 ft. cord because the cordless sucks. We will find a way to keep it in the common area in some box or something not so ugly.
Let’s all be careful watching the cleanliness in the back; it is better but lately with all the wind, trash has been showing up. Let’s make a conscious effort to keep it clean.
9. Leaks in Equinox
Marty noted that a leak was fixed years ago on Devin & Jay’s southside deck before they moved in which stopped that leak. Devin & Jay got a quote of $14,500-$18,000 to strip the deck, fix it and rebuild the deck. This does not include moving the A/C which must be done by a qualified HVAC engineer. Devin is going to go onto a bid site to see if someone will bid for this at a lower price; Chris will be available to monitor this process when they come in to assess the situation.
Rhett mentioned this a previously existing condition for which he and Andy are not responsible. Devin countered; this to be further discussed as final costs are presented.
Rhett expressed concern that the cost of a special assessment is too much and may require a loan – will the association create a loan? Marty and Devin can pay for this out of pocket. More to discuss once further quotes and a timetable is assessed.
10. Insurance
Insurance to fix the damage done by the leaks into Marty’s unit is not covered; the insurance will not cover damage due to weather. Devin will send to Marty the insurance papers, which he will share with his own insurance to see what they recommend for coverage. Perhaps we can change insurance companies. Association recommended to Marty to go to his insurance for claims.
11. Painting of Common Area
Spring Painting! Jay and Andy to go to the paint shop in the Spring and everyone will get together to paint.
12. Gate
Once the building next door is in progress of being demolished, emergency meeting with the Association within 7 days to determine what action will be taken about the gate (storage, replacement, security, etc).
13. Basement Common Area
Needs to be cleaned up as Jay has fallen again and nearly injured severely. Andy noted it is a fire hazard with water and electric, now with boxes and wood. Marty noted there are some hanging wires that need to be taped or pinned away. Marty promised to have clean by end of the year.
