Minutes Aug 24, 2005

1. Budget Update - Billboards

Have $5,582.64 as of today.

Clear Channel is one billboard company managing the two smaller billboards, they bring in $750 annually. The other billboard company (unknown) pays $1,100 annually.

This income is taxable this year as we filed as a corporation because we missed the non-profit assn filing deadline. Next year we need to make sure we don’t miss this! It is in March, not April.

The billboards are contracted until 2007 but they manage the entire process (maintenance, acquiring sales, etc.). Maybe we want to add one for the other side of the building, also maybe we want to look into getting more $$$ when the contract is up for resigning.

2. Tuckpointing and Water Leakage

Different problems but the companies can fix both. Devin has four bids out there. He uses a company called “servicemagic.com” on which he lists issues to take care of and companies bid on them.

Of the four bids, #2 and #4 seem the best. Andy said he would check the Better Business Bureau to ensure company quality. This will be done soon and we hope to get the tuckpointing arranged in September.

We want to get a guarantee from the company for at least 5-10 years if possible.

3. Front Door – Won’t Close

The front door will not close. Marty has said this door has been replaced several times in the past. Devin has tried to fix it himself.

Rhett and Andy will look into getting a steel or reinforced door and talk to the board about costs. The door also needs to be grafitti proof if possible.

In addition, Rhett will put a note on the inside of the door that clearly states “Please close door” in bigger letters.

If there is any grafitti, the City of Chicago will clean it up for us (Marty: “Daley’s Grafitti Busters”).

4. Front Door - Buzzer

For #3 will not buzz people in but can talk to them. For #2 can buzz people in but not talk to them. Been like this for a month for #2, since arrival for #3.

Will look into this when the Front Door is replaced. Rhett and Andy will ask Frank their electrician when he comes over to work on the garbage disposal.

5. Front Door - Security

Rhett will look into getting a sign that says “Door under surveillance”.

Devin will look into getting a wireless camera that we can put in the entry and then go online or on television to verify who is there.

Jay will look into getting stickers that we can put on our windows that mention the building is secure.

6. Parking Lot – Too Tight

Devin already put a bid into servicemagic.com to see if we can find someone to destroy the concrete barrier which makes having 3 cars in the space difficult. He got no replies. Will try again with #7 below.

7. Concrete Above Storage Unit

This is falling apart and won’t last much longer. Will put in a bid along with #6 to see if someone can get these concrete issues taken care of.

8. Cleaning of Main Entry

Need clear strips, an adhesive or clear gritty sealant to put over marble in entry way for Winter as it gets very slick. Also need a new mat for main entry and a basket in lieu of the plastic garbage can for the junk mail.

Andy is given a $100 budget to find all of the above.

Devin will look into getting a battery operated dust buster to help clean the stairwell.

#2 and #3 will take alternate turns cleaning the entry, #2 on even months, #3 on odd months. #3 (Rhett and Andy) up this next month through 31 Sept.

9. Cleaning of Parking Lot and Storage Unit Entry

Marty will start first and have his employees clean it up. Rhett and Andy will pull weeds and Jake and Devin will oil the gate/door. We’ll rotate this after Sept.

10. Garbage Issues

7-11 is stating that we can’t leave our garbage in the alley but it is city property so we think we can. 7-11 states that we are putting the garbage cans in inappropriate places but it is the city that is cleaning the garbage and replacing the cans, not us, but we will try to be conscious to keep them against the wall. 7-11 can also move their dumpsters into the alley if they wish.

11. External Issue Spokesman

If anyone has any concerns with an external person or organization, Marty is the official spokesman, but any of us can speak with anyone but we must make sure we communicate to everyone else on the conversation.

12. Insurance

Has already been resigned for a year but seems a little high. Marty is meeting with an insurance company on Tuesday, Devin will give him our paperwork and we’ll see what they will offer to keep in mind for 2006 when we renew.

Will update everyone on the status via message as September will be very busy and we’ll try and meet again later this year, but definitely once a quarter.
